What are your main responsibilities within your role?

As an HR compliance consultant, my focus areas are strategy and programs. Currently, we use an A-H-R-I-S system as our regulatory system.

This system serves as a central location for employees' personal and human resource files. Our department works closely with all regulatory agencies to ensure staff are fully trained, licensure is validated, and everything is up to date.

My current major project involves standardizing processes throughout Northern California. We are pushing to eliminate paper documents and have been working with multiple regional departments over the past year.

The goal is to standardize their documents, trainings, and competencies within our system called eSmart File Manager. This electronic system eliminates the manual process of completing documents, scanning them, and resubmitting if information is missing or incorrect.

Having documentation electronically greatly improves efficiency, especially when regulatory agencies conduct audits. Agencies like the Joint Commission and the California Department of Public Health perform surprise audits for complaints or licensing requirements.

Our department meets with the surveyors during these audits for an HR file review. We present their licensure and most recent trainings. The efficiency of electronic records is highly valued by surveyors.

Our organization is large, and Kaiser, so it was challenging initially for many departments to transition from paper. They preferred to have physical documents. However, they are adapting better to our electronic standards this year.

Besides this project, I am mentoring two colleagues. They are facility operations coordinators or consultants, and I share my experiences and guidance on handling specific service areas.

We have multiple consultants attached to different service areas across Northern California. My mentoring ensures they are prepared for agency visits and can handle day-to-day client questions and consultations effectively. I aim to provide accurate answers and help find solutions when we don't have immediate answers.

Additionally, I am deepening my understanding of our eSmart File Manager system. I am learning about its backend programming and assisting with adjusting system requirements. This is a new area for me, and seeing the complex work involved on the backend is quite something.
